Lutheridge Conference Center and Camp - One Tool Brings Together a Complex Camp Management Operation
Lutheridge + Lutherock Conference Center and Camp (LLMI) are a multi-location, multi-facility operation, nestled in the mountains of North Carolina. They were looking for a way to manage the numerous conferences, retreats, programs and camps across all of their locations in one system that could be used by everyone involved in the process.
LLMI chose Kinetic Software’s KxResidential because it allowed them to connect all the activity they needed and seamlessly share information across staff and locations. By having all information in one central, accessible place, the staff of varying roles at LLMI feels more empowered because they can access necessary information themselves. They know where to go to find details that affect their daily work and as a result, are enjoying a greater team approach by being included in the process to successfully produce conferences and events.
The staff has also found that Kx is helping them to keep track of important details in a much simpler, more efficient way. They enjoy that all event requirements are contained within one system as is has reduced potentially costly errors that used to occur when details were missed because they were stored in multiple systems.
Suzanne Delap, LLMI’s Marketing Assistant says “because we can enter information directly into Kx while on the phone with the customer, information doesn’t get lost in translation from one system to another.”
They have also found their function meetings to be more efficient, no longer needing to add details during the meeting because the information everyone requires is already in Kx in real time.
For the numerous events that occur at their facility multiple times in a year or more, the staff at LLMI has been extremely happy with the copy event feature in Kx. The ability to create one event from which the others can be copied results in an enormous time-savings for the event managers. Suzanne was sure to point out that “we just love the copy event button. For example, we had one group that booked 18 retreats that are all the same, so we created one and just hit copy event 17 times and in no time at all, every date with complete information was booked.”
Mike Ward, LLMI’s Vice President of Advancement enjoys the revenue projection and analysis available within the Kx Marketing Module. He is able to project the entire year by type of group on a monthly basis and easily compare this year’s projections to last year’s. He can also now easily see where gaps in their schedule exist to entice new bookings. As Mike explained, “all of this had to be done manually in the past. But now that we have Kx, we save a ton of staff time by just clicking a few buttons to get the same information.”
In all aspects of their business, LLMI is reaping the benefits of using one integrated system to manage their entire operation. Mike summarized it best when he said, “the greatest impact by switching to Kx is the time that is saves in the whole process. From beginning to end, it saves time in every step along the way.”
